Dynamics 365 – Restricting attachment types
Introduction:
Dynamics 365 CRM lets you attach files to notes, which is a handy way to link related documents with records. But sometimes, organizations may need to limit the kinds of files that can be attached for security and compliance reasons. This article shows you how to block certain attachment extensions in Dynamics 365 CRM, and explains how to set it up and what it means for your system.
Understanding the Need for Blocking Attachment Extensions
Security and compliance reasons may require blocking some attachment extensions. Organizations may block file types like executables, scripts, or other dangerous formats to avoid malware, data leaks, or illegal software sharing. Also, limiting some file types can protect data quality and follow the rules and standards of the industry.
Configuring Blocked Attachment Extensions
Administrators can set the blocked attachment extensions in Dynamics 365 CRM through the Power Platform Admin Center or System Settings. They can go to the Power Platform Admin Center and find the Privacy + Settings section under the Product settings of the environment they want. There, they can enter the file extensions to block, using a semicolon to separate each extension. After adding the extensions and saving the changes, users will not be able to attach files with the blocked extensions.
If a user tries to attach a file with a blocked extension, Dynamics 365 CRM will show an error message and stop the attachment from being saved. This error message tells the user that the file extension is not allowed and suggests them to pick a different file. By giving clear and quick feedback, this error handling mechanism helps users follow and respect the organization’s attachment rules.
